PI ATTENDANCE REQUIREMENTS:

PIs with active CPS awards "must attend the entire PI Meeting on both days of every annual CPS PI Meeting" held throughout the duration of a given CPS grant, including during no-cost extensions".  In emergency situations that precludes a PI's in-person attendance, the PI must send a message a message to David Corman (NSF) at dcorman@nsf.gov and copy Frankie King at frankie.king@vanderbilt.edu to provide the name of the project representative who will be attending.

If more than one PI or Co-PI would like to attend in person, then they should register and select “Would like to attend if space is available” as the registration option.

In addition to the PI attending in-person for collaborative research projects, each PI from each of the other institutions should plan to attend the entire meeting remotely.

PIs with projects that expire within 3 months of the PI Meeting are encouraged to attend.

A PI can be the in-person representative for more than one project.

MEETING REGISTRATION (Deadline is Monday, October 17, 2022):

To register for the meeting, select the "Meeting Registration" tab on the meeting website or visit Meeting Registration | CPS-VO. The nontransferable meeting registration code will be sent in the official invitation letter to each PI, Co-PI, other project designate, or guest who is on the official invitation mailing list. Please complete your online registration no later than Monday, October 17, 2022. Please remember that each PI is expected to be present for both days of the meeting as each active project must be represented, then inform this person to register for the meeting at Meeting Registration | CPS-VO.

The organizers strongly encourage you to register for the meeting as soon as possible to assist us with early data about attendance.  

On the evening of Monday, November 7, 2022, the registration check-in desk will be open from 6:00 p.m. ET to 9:00 p.m. ET for persons who wish to pick up registration check-in materials early. On both full days of the meeting, the registration check-in desk will open starting at 7:00 a.m. ET.

VENUE/ACCOMMODATIONS (Deadline is midnight on Monday, October 17, 2022):

A block of rooms has been reserved at the Crystal Gateway Marriott Hotel, starting the night of Monday, November 7, 2022 and Tuesday, November 8, 2022. All rooms reserved within this block are based on the Government per diem rate of US $188.00 per night plus tax.

IMPORTANT: Please note that the meeting will take place at the Crystal Gateway Marriott, NOT the Crystal City Marriott that is two blocks away!

Rooms can be reserved in this block online at: Book Your Group/Corporate Rate | Marriott International or by calling 877-212-5752 (toll free) and mentioning the group code "NSF CPS PI Meeting". If your reservation includes days outside of the block, rates will increase and you will not be able to register online, but will need to call the hotel.  Reservations must be made by midnight (EDT) on October 17, 2022. Reservations made after that time will be based on availability at the hotel's prevailing rates. Make your reservations early to secure a room, as available rooms may be sold out sooner than the deadline. After this room block expires, we will post information about alternative nearby hotels which you can contact directly.

Hotel check-in time is 4:00 p.m. ET and check-out time is 12:00 p.m. ET. Guests arriving prior to 4:00 p.m. ET will be accommodated as rooms become available. The front desk can provide a baggage storage area for early arrivals or late departures.


PROGRAM INFORMATION:

Mini-Workshops ((Deadline is Thursday, Spetember 15, 2022):

The 2022 CPS PI Meeting will incorporate a limited number of Mini-Workshops into the program on innovative topics in CPS. We invite the submission of workshop proposals from the CPS community that can define the future of CPS research vision and introduce recent research advances to interested PIs and graduate students. Workshops should include a mix of invited presentations and panel discussions that encourage active participation from attendees. The suggested length of workshops is 90 minutes, but longer workshops of 2-2.5 hours can also be accommodated. Proposers may be contacted by the committee to refine the content and length of their proposal. Thus, PIs will have the opportunity to:

  • Propose workshop topics via a Call for Workshops at Call for Mini-Workshops | CPS-VO
  • Plan and lead the workshops based on a set of criteria that is explained in the Call for Workshops.

Each workshop proposal must include:

  • Proposal content (2 page maximum)
  • Title of the workshop
  • Description of the technical issues covered, emphasizing the innovations highlighted in the proposed workshop
  • Names of potential planned speakers and panelists (indication that speakers accepted to participate is a plus). A diverse set of speakers and panelists is expected.
  • Planned format of the workshop. Unique, creative, and novel workshop formats are encouraged.
  • Workshop organizer names and bios (1 page maximum)
  • Names, affiliation, and contact information of workshop chairs
  • Short (max 200 words) biographies for organizers. The names and bios should not take more than 1 page.

Important Dates:

  • Workshop proposals are due: Thursday, September 15, 2022
  • Notifications will go out to PIs of selected workshops: Thursday, September 22, 2022
  • Final workshop organization plans are due to the program committee: Wednesday, October 5, 2022
  • 2022 CPS PI Meeting Opens: Tuesday, November 8, 2022

If your workshop topic is selected to be programmed, you will receive a notification from one of the 2022 CPS PI Meeting program committee members who will inform you about the requirements for your final workshop organization plans.


PI PROJECT SUBMISSIONS (Deadline is Monday, October 17, 2022):

Lightning Talks:

Each active CPS project team, including those in no cost extension (NCE) status, is required to develop a project lightning talk. 

Requirements:

  • Each lightning talk should be 90 seconds (Frontier talks should be 5 minutes)
  • Lightning talks should introduce the project team, state the main goals of the project, and highlight a few key results.
  • You use use the template provided (click the image to the right to download)
  • Lightning talks must be pre-recorded and submitted by Monday, October 17
  • Lightning talks naming convention: 
    • (for slides): PILASTNAME_FirstName_AwardID_LightningTalksSlidesContent.pdf,  or ppt, or pptx

The goal of the lightning talks is to introduce the audience to your topic and convey the impact of your results. This year, no lightning talks will presented "live" at the PI Meeting. The pre-recorded lightning talk videos will be posted on the PI Meeting website and presented via video loops on monitors at the PI Meeting. PIs of collaborative projects (multi-institution, each with unique award numbers) should submit a single lightning talk video and a single poster. When preparing LTs, please emphasize the scientific contribution of your project with respect to cyber-physical systems in general, as well as the impact in specific domains. We also hope that you will explain the project as a whole, rather than only a narrow subtopic. It would be particularly helpful if you include the scientific challenge questions being addressed in the project context that will contribute new approaches for CPS systems science and engineering.

Each NSF-funded CPS project is required to submit a poster, abstract, and are encouraged to submit a video of each CPS project with a unique award number. For collaborative projects, the collaborating institutions can decide whether to submit one abstract, poster, and video that explains research by all collaborators and notes all award numbers, institutions, and names of PIs/Co-Ps. Please inform the meeting organizers if you plan to submit one team project. 

Poster requirements:

  • The printed poster should be either 40" tall x 30" wide or 30" tall x 40" wide
  • Each poster should include the following information:
    • Title
    • PI and Co-PI names
    • NSF award ID(s)
    • Meeting dates: November 8-9, 2022

  • PIs should print and bring the poster with the to the PI meeting. All posters should be in place by 8am on the first day of the meeting.
  • Submit an electronic copy (PDF) of the poster along with an abstract by CoB Monday, October 17, 2022.

Posters should provide an overview of the research topics and results and convey the research objectives and scientific directions of the project. We also strongly encourage each project to provide an abstract (no more than 1 page) and a roughly 5-minute YouTube-style video of your research. We are explicitly not looking for a professional video. We ask that you make sure in posters, abstracts, and videos to emphasize the scientific contribution of your project with respect to cyber-physical systems in general, as well as the impact in specific domains. We also hope that you will explain the project as a whole, rather than only a narrow subtopic. It would be particularly helpful if you include the scientific challenge questions being addressed in the project context that will contribute new approaches for CPS systems science and engineering. 

The poster sessions will be held on both November 8 and November 9. PIs will be scheduled in advance to present their posters during a specified poster session. The poster stands have a cushioned backing and the organizers will provide push pins. There will not be any table space or electrical outlets. If you are participating in a demonstration, your project posters will be co-located alongside your demonstration.

Demonstrations of CPS Technology:

Live and pre-recorded demonstrations will be programmed this year. Demonstrations should showcase the research so that non-CPS experts may also appreciate and understand its significance in the real world. We hope to use the demonstration session as a starting point for this R&D showcase. You can register to participate by completing the webform found at https://cps-vo.org/group/cps-pimtg22/demo-interest. The deadline for submitting your demonstration details is CoB Monday, October 17, 2022. On the webform, please describe your demonstration research project in detail by submitting a two- to-three sentence abstract.

We strongly encourage demonstrations by projects that are in their third and fourth year. We encourage others to please consider participating in the demonstration sessions as well.

All PIs selected for demonstrations will be contacted in a separate email message. Please indicate on the webform the types of AV equipment/props that will be needed if selected for a demonstration, such as projectors, screens, microphones, table stands, etc. The organizers will do our best to assist your needs.


DIVERSITY, EQUITY, and INCLUSION (DEI) LUNCHEON:

The DEI Luncheon will be programmed concurrently with the general lunch on day one. The event is designed to bring together CPS community members in order to enhance the participation of women and underrepresented minorities in the CPS program, to learn more about NSF outreach to these communities, and to network. We will provide discussion points around inclusivity and the future of CPS at the various tables. There will be an opportunity at the end of the lunch for each table to share key aspects of the table's discussion. The intention is to create an opportunity to make and reinforce valuable research contacts while enjoying lunch and good conversation. The lunch will be held on Tuesday, November 8 from 12:00 noon ET-1:15 p.m. ET in the Skyview Terrace at the Crystal Gateway Marriott. This event is open to all interested PI Meeting attendees. Due to limited capacity, attendance will be on a first-come-first served basis.

The meeting program will include the following presentations in the form of:

  • Mini-Workshop Talks

If you are invited to give a presentation, you will receive individual messages with details from a program committee member. A presentation/bio submission code will be provided at that time for you to submit your presentation and updated bio and snapshot. This message will also include the deadline date for submissions.

For PIs who are invited to speak, a presentation template can be found directly to the right (click image to download).

A presentation laptop will be provided, but please let the organizers know in advance if you plan to use your own laptop and if there are movies in your presentation. It is expected that all presentations will be from computers and displayed via projector, which will be available. Crowd Release Policy:

By attending the National Science Foundation S&CC PI Meeting, you are entering an area where photography and audio and video recording may occur. Your entry and presence at the event constitutes your consent to be photographed, filmed, and/or otherwise recorded and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with the NSF S&CC Program and its initiatives, including, by way of example only, use on websites, in social media, news and advertising.

Early Onsite Registration Check-in:

On the evening of Monday, November 7, 2022, the registration desk will be open 5:00 p.m. ET to 9:00 p.m. ET for persons who wish to collect any registration materials early. The limited manned registration desk will be available at 7:00 a.m. ET on the two full meeting days.

Meals:

Continental breakfasts, a.m. and p.m. refreshments, and hot lunches will be served on the full two meeting days. Light refreshments will be served on the arrival night and a two-hour reception will be scheduled on the evening of meeting day one.
