  M E E T I N G  I N F O R M A T I O N  

The 2020 NRI Principal Investigators' Meeting will be held on Thursday, February 27 starting at 8:30am through 5:00p.m. Friday, February 28, 2020, at the Renaissance Arlington Capital View (RACV), located at 2800 South Potomac Avenue, Arlington, Virginia 22202.

Students must plan to attend the entire meeting and should book travel accordingly. If you have any questions or concerns relating to travel, please contact Alexis Rodriguez at (615)-804-5996 (M-F 9am-5pm EST) or katherina.a.rodriguez@vanderbilt.edu.

Meeting Registration:

Please complete your online registration at https://cps-vo.org/group/nri-pimtg20/student-registration. The nontransferable meeting registration code will be sent in the official invitation letter to each accepted student. Please complete your online registration by 11:59pm on Friday, February 7, 2020.

The registration fee is only for non-student attendees, therefore you are not required to pay.

On the evening of Wednesday, February 26, the registration desk will be open 6:00 p.m. to 9:00 p.m. for persons who wish to register and collect registration materials early. Regular registration will start at 7:30 a.m. on each day of the meeting.

Flight Recommendations:

You are responsible for booking your own travel. Please expect to attend the two meeting days in full from 8:30am on Thursday, February 27 through 5pm on Friday, February 28. For students that are flying, it is recommended that you schedule flights to arrive on Wednesday, February 26, 2020 and depart on Friday, February 28 after 5pm. The recommended airport to utilize is Ronald Reagan Washington National Airport (DCA), as it is the closest airport to the RACV.

Hotel Details:

A hotel room has been booked on your behalf at the meeting hotel, Renaissance Arlington Capital View, by the conference organizers for Wednesday, February 26 (check-in) through Friday, February 28 (check-out). Students will be paired with another student in a hotel room with two double beds based on information provided in the registration webform. The room and applicable taxes for two nights will be paid for you in advance. You must provide a credit card upon check-in for incidentals. Hotel rooms are not provided for those local to the DC area.

The RACV's check-in time is 3:00 p.m. and check-out time is 12:00 p.m. Guests arriving prior to 3:00 p.m. will be accommodated as rooms become available. Hotel Amenities can be found here.

For local students, parking at the Renaissance Arlington Capital View is US $19 hourly, US $33 daily for self-parking, and US $38 daily for valet parking. Guests with a handicapped placard or license plate may use designated handicapped valet parking places for the self-parking price. Please note that these prices reflect a 10% discount.

Meals:

Continental breakfasts, a.m. and p.m. refreshments, and lunches will be served on all days of the PI Meeting. A reception with light refreshments will be served after the poster session on Thursday, February 27. Participants are on their own for dinners.

Reimbursement:

Reimbursement guidelines can be found at https://cps-vo.org/group/nri-pimtg20/student-reimbursement. Please note that the reimbursement max limit is $600, which includes your travel to/from the meeting and meals not provided during the meeting. During the meeting, please be sure to hold onto all itemized receipts. After the meeting, please be sure to submit the reimbursement worksheet and receipts to the above link. This information should be submitted by March 27, 2020.

Student attendees have the option to submit and informally present a poster describing your robotics-related research. There is no requirement to submit a poster, and there is no formal presentation scheduled. If you plan to submit and informally present a poster, please submit it at https://cps-vo.org/group/nri-pimtg20/submit-student-poster no later than CoB Friday, February 14, 2020.

You would be responsible for:

  • Producing a printed version of the poster
  • Bringing and/or arranging for the poster to be delivered and set up by early registration on the night before the opening session or set up by 8:00 AM on the first day of the meeting
  • Presenting the poster during your assigned poster session
  • Removing the poster at the end of the meeting

The poster sessions at the 2020 NRI PI Meeting will be held on Thursday, February 27 and Friday, February 28, 2020. The posters will stay up for both meeting days.

The poster display stands have a cushioned backing panel and are 4 feet tall by 8 feet wide. Each poster stand will accommodate a total of four posters (two on each side). Thus, an individual poster should be 30"x40" or 40"x30". The electronic copy submitted must be in PDF file formats. There will not be any table space or electrical outlets.
