2019 Participant Guidance

The 2019 SaTC Principal Investigators' Meeting will be held on Monday, October 28th, 2019 starting at 8:00 a.m. through 3:30 p.m. on Tuesday, October 29th, 2019, at the Hilton Alexandria Mark Center, 5000 Seminary Road, Alexandria, VA 22311. There will be a welcome reception at 6:30 PM on Sunday, October 27th. We request that SaTC PIs plan to attend the entire meeting and book travel accordingly.

The meeting provides an opportunity for SaTC PIs to meet other SaTC awardees as well as leaders of foundations, government, and industry involved in relevant research and policy areas. This year's focus is on Growing the Cybersecurity Research Pipeline: how can SaTC involve more undergraduates in research, and inspire them to pursue graduate studies in cybersecurity? How can SaTC increase diversity and inclusivity in cybersecurity research?

Meeting Registration:

The Lead PI for every active award is required to complete the registration form, even if you do not plan to attend the meeting. We request all Lead PIs to submit a project highlight slide, whether attending the meeting or not. These highlight slides are extremely useful in helping the NSF highlight the wonderful work that is supported in SaTC.

Who must attend the 2019 SaTC PI Meeting:

  • SaTC Large, Medium, and Small awards: The Lead PI for a collaborative award involving multiple institutions is required to ensure that at least one of the PIs, Co-PIs, or senior personnel from each participating institution attends one of the biennial SaTC PI meetings held during the term of the grant.
  • SaTC Frontier awards: The Lead PI for a collaborative award involving multiple institutions is required to ensure that at least one of the PIs, Co-PIs, or senior personnel from each participating institution attends all of the biennial SaTC PI Meetings held during the term of the grant.
  • SaTC CAREER, CRII, EAGER awards: there is no requirement to attend the SaTC PI meeting, but we highly encourage you to attend.

The number of participants at the meeting is limited by the available space, so priority will be given to registration of the PI community. The remaining space will be made available for the registration of other guests. All registrants will receive confirmation regarding the acceptance of their registration.

Meeting information will be handled through the meeting website at https://cps-vo.org/group/satc-pimtg19. This site provides access to the meeting registration, program agenda, program material submission pages, venue/lodging, and other important information.

Select the "Register for Meeting" menu tab on the meeting website, and please complete your online registration by Monday, October 28, 2019. Onsite registration at the meeting will also be available. The nontransferable meeting registration code will be sent in the official invitation letter to each Lead PI, PI, Co-PI, and other official invited guests. If you are the lead PI and cannot attend this year's PI meeting, you are responsible for identifying the name of at least one person to serve as the project representative. Please remember that each project is expected to have at least one person present for both days of the meeting.

Please be sure to enter accurately the award project title for the SaTC project the attendee will represent if such project exists. All PIs are encouraged to select topics that best describe their research from the list of topics on the online registration form. If you are a PI with multiple active awards, you will have the opportunity to list information for up to four awards. These steps will be crucial to help meaningfully organize the breakout sessions.

Registration Fee:

The registration fee per person to attend the meeting is $160.76 ($150 + $10.76 processing fee).  All attendees are required to pay the full registration fee. This fee will be collected online as part of the meeting registration process. Only major credit and debit cards will be accepted. All payments are final, and thus, there will be no refunds.

Early Onsite Registration:

On the evening of Sunday, October 27, 2019, the registration desk will be open 5:00 p.m. to 9:00 p.m. for persons who wish to register and collect registration materials early. Regular registration will start at 7:30 a.m. on each day of the meeting.

Meals:

Continental breakfasts, a.m. and p.m. refreshments, and lunches will be served on all days of the PI Meeting. Light refreshments will be served during the poster session on Monday, October 28, 2019. Participants are on their own for dinners.

New this year: The SaTC PI meeting will include an undergraduate track for up to 50 REU students who are supported from the SaTC program. Each participating PI is encouraged to nominate an undergraduate student who has worked on SaTC research with them to participate in this undergraduate track.

Update as of 09/20/19: The room block at the Hilton Alexandria Mark Center is nearly sold out. Please see below for information regarding a courtesy room block at the Courtyard by Marriott Alexandria Pentagon South.

A block of rooms has been reserved at the Hilton Alexandria Mark Center starting the night of Sunday, October 27, 2019 through Tuesday, October 29. All rooms reserved within this block are based on the Government per diem rate of US $181 per night plus taxes. We will inform the community in advance if the room block sells out, and we will provide information for additional hotels within a 5 mile radius to the Hilton hotel.

If your reservation includes days outside of the block, you will be able to register online for the days highlighted in blue, but please be advised that dates outside of the block might incur higher or lower room rates, depending on the day. When calling, please reference the event name: "NSF SaTC PI Meeting". 

Reservations must be made by 6:00 p.m. (EDT) Thursday, September 26. Reservations made after that time will be based on availability at the hotel's prevailing rates. Please make your reservations early to secure a room as available rooms may be sold out sooner that the deadline. After this room block expires, we will post information about alternative nearby hotels for which you can contact directly. Hotel check-in time is 4:00 p.m. and check-out time is 11:00 a.m. Guests arriving prior to 4:00 p.m. will be accommodated as rooms become available. The front desk can provide a baggage storage area for early arrivals or late departures.

Parking is available at the hotel. The onsite self-parking fee for the garage is discounted at a rate of $16 per car, per day and includes daily and overnight. To ensure discounted rate, please validate your ticket at the front desk.

Complimentary basic Wi-Fi service will be available in all hotel rooms.

A limited courtesy room block on a first come-first served basis has been arranged for the overflow at the Courtyard by Marriott Alexandria Pentagon South, located at 4641 Kenmore Avenue, Alexandria, VA 22304 at the rate of $159/night. Reservations can be made online at the following link: Book your group rate for 2019 NSF Secure & Trustworthy Cyberspace Principal Investigators Meeting. You can also call reservations at 1-886-876-5179 or call the hotel directly at 703-751-4510 and ask for the "NSF Room Block" rate of $159/night, but online booking is preferred. This hotel is a 3-minute drive and a 12-minute walk to the Hilton. Both the Hilton and the Courtyard by Marriott Alexandria Pentagon South have shuttle buses that will provide R/T transportation to each other's hotel; but trips have to be scheduled. Rooms must be reserved by October 11, 2019.

Hotel parking at the Courtyard is available for $11. Please note check in time for this hotel is 3:00pm, and check out is 12:00pm.

Project Highlight Slide:

We request all Lead PIs to submit a highlight slide, whether attending the meeting or not. These highlight slides are extremely useful in helping the NSF highlight the wonderful work that is supported in SaTC. Additionally, it will be made available online in the SaTC Community Forum.

The highlight slide should convey the overall research objectives and scientific directions of the project. Collaborative awards (multi-institution, each with unique award numbers) should submit a single joint highlight slide covering the entire project. The lead PI is responsible for ensuring that each aspect of the research is covered. The electronic version should be in PDF format. Meeting attendees are encouraged, but not required, to submit a poster. All awards, even if part of a collaborative award, are welcome to prepare posters subject to space constraints. Collaborative awards (multi-institution, each with unique award numbers) can submit a single joint poster and abstract covering the entire project if desired. The PI of the lead institution is responsible for ensuring that each aspect of the research is covered. Please submit this slide via the submission webform at https://cps-vo.org/group/satc-pimtg19/submit-poster no later than October 11, 2019. If you are a PI with multiple active projects, you will have the opportunity to submit artifacts for up to four projects.

The lead PI or alternate(s) is also responsible for:

  • Producing a printed version of the poster
  • Bringing and/or arranging for the poster to be delivered and set up by early registration on the night before the opening session or set up by 8:00 AM on the first day of the meeting
  • Presenting or identifying at least one person to present the poster during the poster session on Monday evening, October 28
  • Dismantling and discarding the poster at the end of the meeting

Posters should provide an overview of the research topics and results, with effective use of graphics. We ask that you make sure to emphasize the scientific contribution of your project with respect to secure and trustworthy systems, in general, as well as the impact in specific related topic areas. We also hope that you will explain the project as a whole, rather than only a narrow subtopic. It would be particularly helpful if you include the scientific challenge questions being addressed in the project context that will contribute new approaches for SaTC science and engineering. Please use the template on the right as a guide for preparing your poster.

The poster display stands have a cushioned backing panel and are 4 feet tall by 8 feet wide. An individual poster should be standard 24"x36" or 40" square as two posters will be pinned to each side of a stand for a total of four posters to a stand. Printed versions of posters may be in any format that fits within that space. The electronic copy submitted must be in PDF file format.

The poster session will be held on Monday evening, October 28. There is expected to be 300 posters presented. The posters will stay up all day for both days, so setting them up on the night before or early before the opening of the meeting is strongly encouraged. Projects will be assigned a location number prior to the event.

We are placing additional emphasis on live interactive demonstrations this year. Demonstrations should showcase the research so that non-SaTC experts also may appreciate and understand their significance. We hope to use the demonstration session as a starting point for this R&D showcase. We strongly encourage PIs to participate, particularly those with projects that are in their third or fourth year. Please note space is limited to 30 demonstrations. Register early at https://cps-vo.org/group/satc-pimtg19/submit-demos to ensure your space.

Each demonstration will be provided a 42” table stand monitor with HDMI and VGA cabling, electricity, WiFi service, a 6’ table, and two chairs. Demonstration participants will be able to place their project poster on an easel (that will be provided) at the designated demonstration site. Demonstration participants are responsible for any additional AV and other equipment beyond that being provided by the organizers. The demonstration sessions should remain set up for both days. The programmed presentation timing of the demonstrations will occur during the same time as that for the poster sessions.

Program presentations will be in the form of invited keynotes and talks, SaTC PI project talks, panel discussions, and breakout sessions. If you are invited to give a presentation, a link and submission code to submit your slides and updated bio and snapshot will be provided after you have been contacted and your speaking role has been confirmed. Invited speakers will receive individual messages with details from an NSF program director or Program Committee member. A presentation laptop will be provided, but please let the organizers know in advance if you plan to use your own laptop and if there are movies in your presentationIt is expected that all presentations will be from computers and displayed via projector, which will be available.
